Accounts

Creating an account, confirming your email address, accepting the Terms of Service, signing in with email or Google, resetting your password, three quick questions, when sign-ups are paused, product emails, and your account menu and Settings.

Markdown

Anyone can create an Otherspace account and start straight away. Otherspace is in Public Beta.

Creating an account

Go to Create an account from the sign-in screen (/sign-up). Either:

  • Continue with Google, and choose your Google account. Your address is confirmed by Google, so you’re signed in straight away. Your first and last name come from your Google account.
  • Or enter your first name, last name, email address and a password of at least 8 characters, and choose Create account. We email you a 6-digit code: enter it on the next screen (Check your email) to confirm your address. You’re then signed in. The code works for 10 minutes. Send a new code sends another (you can ask again after 30 seconds).

Accepting the Terms of Service

Before anything else, a new account is asked to accept the Terms of Service, on a screen called Before you start. It links to the Terms of Service and the Privacy Notice, each opening in a new tab. The Privacy Notice is there for you to read: there’s nothing to agree to.

  • Tick I agree to the Terms of Service., then choose Continue. Continue stays unavailable until it’s ticked.
  • A second, separate box asks whether you want product emails (see Product emails). It starts unticked and is optional: leaving it unticked doesn’t stop you continuing.
  • If you’d rather not go on, choose Sign out, or Delete account to delete the account you’ve just made (see Deleting your account).

You’re asked once. If the Terms of Service change, you’re asked again the next time you open Otherspace, before anything else. Until you accept, no part of Otherspace opens, though you can still sign out or delete your account.

The legal documents are published on otherspace.ai: the Terms of Service, the Privacy Notice, the Subscription & Usage Terms, the Acceptable Use Policy and the AI Policy. Each shows its version.

Three quick questions

After you accept the Terms of Service, A few quick questions asks your role, what you plan to create (choose any) and how you heard about Otherspace. Choose an answer to each, then Continue: Otherspace opens. You’re asked once. If your account is older than these questions, you’re asked once the next time you open Otherspace. Your answers are kept apart from your account details. Sign out leaves without answering.

When sign-ups are paused

We may briefly pause new sign-ups. If you create an account while they’re paused (and confirm your address, and accept the Terms of Service), you see Almost ready: your account is saved, and nothing else is made for you yet.

When your account is ready, we email you to say so, and the same screen says You’re in: choose Open Otherspace. You land on a blank Canvas in your first Workspace (see Your first Workspace).

If someone invites you to their Workspace, accepting the invitation lets you in straight away, even while sign-ups are paused (see Inviting people).

If your access is paused, the screen says so, with the address to write to if you think it’s a mistake: hello@otherspace.ai. Your account and everything in it are kept.

Signing in

On the sign-in screen (/sign-in), Continue with Google, or enter your email address and password. A wrong email or password shows a message, without saying which one was wrong. If you haven’t confirmed your address yet, we email you a new code and ask for it.

Opening any page of Otherspace while signed out takes you to sign in first, then back to that page.

Forgotten password

Choose Forgot password? on the sign-in screen, enter your email address, and choose Send a code. If the address has an account, we email it a 6-digit code: enter it with a new password and choose Change password. Changing your password signs you out everywhere you were signed in. Sign in again with the new one.

The emails come from hello@otherspace.ai.

Your account and settings

Select your name at the bottom of the sidebar, or your picture (or initial) at the top right of an open Canvas, to open the account menu:

  • Your name and email address.
  • Account settings opens Settings.
  • Appearance: Light, Dark or System.
  • Sign out signs you out of this browser.
  • Public Beta, at the foot: opens Public Beta in these docs, in a new tab.

Workspaces, and Workspace settings, are at the top of the sidebar (see Workspaces).

Settings opens over what you’re doing. Its sections:

  • Account › Profile: change your first or last name and choose Save. Your email address is shown but can’t be changed yet. The product emails switch is here too (see Product emails).
  • Account › Appearance: Light, Dark or System. System matches your device, and changes with it while Otherspace is open. The choice is kept in this browser. It changes the app around your work, not what you’ve made: notes, shapes and the colours you’ve chosen look the same in every theme. Text and frames you haven’t given a colour adapt to stay readable, and a JPEG export uses the theme you’re in.
  • Workspace › General: the Workspace’s name (which its Owner or an Admin can change), and your role.
  • Workspace › Members and Teams: its people, their roles and its Teams (see Workspaces). Members appear on Starter, Pro and Studio, Teams on Studio; where the plan has none, they say what it would need.
  • Workspace › Usage: how much of the Workspace’s usage is used, and when it resets, with a link to Plan.
  • Workspace › Plan: the Workspace’s plan, what it becomes next, its seats, and the plans to choose from.
  • Workspace › Billing: for its Owner, managing billing at Stripe.

On a phone, the open section’s name is a menu at the top: choose it to move to another section.

Settings keeps its place in the address (for example ?settings=workspace.usage), so a reload keeps it open.

Inviting Guests comes with Starter and Pro, and Members, Admins and Teams with Studio (see Workspaces).

Not available yet: changing your email address, and signing in with other providers.

Product emails

Product emails are product updates and occasional offers from Otherspace. You get them only if you choose to: tick the box when you accept the Terms of Service, or turn on the switch in Settings › Account › Profile, labelled “Send me product updates and occasional offers from Otherspace. I can unsubscribe at any time.”

Turn the switch off at any time to stop them. It takes effect at once: no Save needed.

Emails about your account, such as sign-in and password codes, invitations and the email saying your account is ready, are sent whatever you choose here.

Deleting your account

Choose Settings, then Profile, then Delete account…. If you have no Workspace, choose Account settings on the screen that asks you to name one.

First, close or transfer every Workspace you own: close it in its Workspace settings, under General (see Closing a Workspace), or hand it to one of its Admins or Members under Members (see Transferring ownership). The dialog lists any you still own. Then type your email address to confirm, and choose Delete account.

  • You’re signed out everywhere, at once, and no one can sign in as you.
  • You leave every Workspace you’re in, and any invitations to you are withdrawn.
  • Your Drafts, and everything in them, are deleted for good.
  • Your name, email address and picture are removed.
  • Records of what was bought and used are kept, under an anonymous “Deleted account”. The billing details your closed Workspaces had at Stripe are deleted (see Closing a Workspace).
  • Product analytics stop recording anything as you.

This can’t be undone. Your email address is free to make a new account with.
