Sharing a Canvas

Sharing a Canvas with people, Teams and by link, and seeing who is looking.

Markdown

Select Share at the top right of an open Canvas. Everyone who can open the Canvas can open Share and see who else can. Only someone who manages the Canvas changes that.

People and Teams

In a Workspace that works with others, a Canvas is open to everyone with access to its Space. You can also share one Canvas on its own, with people who can’t open the rest of its Space:

  • Add people, teams or emails finds the Workspace’s people and Teams as you type, or takes an email address. Someone outside the Workspace is invited as a Guest, and their access waits until they accept.
  • Everyone in the Workspace can be given the Canvas too (Can view or Can edit). As with Spaces, that never reaches Guests.
  • Each row says where its access comes from: Direct (shared on this Canvas, changed or removed here) or From its Space (shown, and changed in the Space’s Share). The Workspace’s Owner and Admins manage every Canvas by their role.
  • No one can give more access than they have. Someone who can edit a Canvas works in it but can’t share it.

Someone given a Canvas on its own opens that Canvas and the pictures and videos on it, and nothing else in its Space: not its other Canvases or its other Assets. With Can edit they add, upload and generate into it, billed to the Workspace like everyone else’s. It appears on their Home under Shared with you.

Taking access away (removing someone, a Team, or lowering everyone’s level) applies at once, including to anyone who has the Canvas open.

Everyone with a Canvas open sees each other’s changes as they’re made, without reloading: things added, moved, changed or deleted, generations and uploads arriving, and what the Assistant changes. That includes the same Canvas open in another tab of your own.

A Draft is yours alone, and a Workspace on Free has no one else in it: both are shared by link only. On Starter you can share with Guests for viewing. On Pro a Guest can also be given Can edit, on a Full seat; Members, Admins and Teams come with Studio.

A Canvas starts Restricted: only people with access can open it (for a Draft, only you). Someone who manages it chooses Anyone with the link to let anyone they send the link to view it, without an account. Sharing a Draft by link doesn’t put it into a Space.

  • Copy link copies the link to send. Anyone who can open the Canvas can copy it.
  • The link opens where you are when you copy it: on the Page you’re on, and, if you have something selected (nodes, a frame or a group), zoomed to fit it. What it points at is outlined for a moment, not selected, and after that the view is theirs. Opening such a link doesn’t change where the Canvas opens for them next time. If what it points at has been deleted, or its Page has, it simply opens the Page, or the first Page.
  • Someone opening the link sees the Canvas itself, view only: they can pan and zoom, and nothing else. They see your changes as you make them.
  • A link never takes away access someone already has. If they can open the Canvas themselves (they were given it, or have its Space), the link opens it at its own address with what they can do there: someone made an Editor after you sent them the link can edit through that same link. This still works after the link is turned off.
  • While someone is viewing, their avatar appears beside Share (“Guest”, “Guest 2”…), and they see yours.
  • You see what each other has selected, outlined in their colour with their name, following the selection as it moves. Someone viewing can click a node to select it and look at it, but can’t change it.
  • You see each other’s pointers on the Canvas, with a name (your first name, or “Guest”), wherever each of you has panned or zoomed. A pointer fades when it stops moving for a few seconds, and hides when it leaves the Canvas.
  • Follow someone by selecting their avatar: your view glides to where theirs is and keeps up smoothly as they pan and zoom, with all of what they see fitted to your window. Their avatar has a ring in their colour while you follow. Select it again, press Esc, or click, pan or zoom the Canvas yourself to stop; following also stops when they leave. Anyone on the Canvas can follow anyone else there, including someone viewing by link, and nobody is told they’re being followed. Each open tab is its own avatar, so you follow the one you chose.
  • Restricted turns the link off at once: anyone viewing loses access. Sharing again makes a new link; the old one never works again.
  • Reset link replaces the link: the current one stops working at once, and the new one is ready to copy.
  • Only someone who manages the Canvas opens, restricts or resets its link.
  • Shared links are kept out of search engines.
